CRM Autopilot

Your CRM is always out of date because nobody wants to type up their calls.

The systemReads every call and email, then updates deals, contacts and next steps for the rep to confirm.

// The problem

Seven conversations. One CRM update.

Everything that matters about a deal gets said on calls and in email. Typing it into the CRM afterwards is the job nobody gets to, so the pipeline your managers forecast from is weeks behind.

What happened with the deal

  1. Sep 2Discovery call
  2. Sep 9Email: pricing questions
  3. Sep 16Demo with the COO
  4. Sep 30Email: “Could we pilot?”
  5. Oct 7Call: pilot scope
  6. Oct 14Email from their IT lead
  7. Oct 20Call: pilot agreed

What the CRM shows

  1. Sep 2Stage set to Discovery
  2. Oct 20Last updated 48 days ago

Sample deal history, fictional company.

// How it works

After every call,
a diff of the deal to confirm.

The system reads the transcript and the email thread, works out what changed, and shows the rep the record before and after. Every change points to the line it came from. Nothing that matters is saved until the rep confirms it.

// Who decides what

It does the typing. The rep keeps the say.

You choose which fields it can fill in on its own, which ones wait for the rep, and which ones it never touches. Most teams start strict and loosen the rules once reps stop undoing changes.

7 updates from your call with Northgate Dental Partners. One needs a look: the amount is down 40%.

Saved on its own

Low-risk records of what happened.

  • The call summary and a link to the recording
  • Emails logged to the right deal and contact
  • The meeting marked as held

Waits for the rep

Anything that changes the forecast or the plan.

  • Stage, amount and close date
  • Next steps and follow-up tasks
  • New contacts and their roles
  • Risks and competitors

Never touched

Left to people, always.

  • Marking a deal won or lost
  • The deal owner and territory
  • Deleting or merging records
  • Deals the rep doesn’t own

// For your tech lead

Can we build it? Here’s what it takes.

If your calls are already recorded and transcribed, this is a two-to-three-day build with no engineer. Most of the time goes into choosing the fields and the rules for each one.

Tools you’ll use

JobUseOr
Call recordings and transcriptsZoom or Google Meet transcripts (paid plans)Fathom, Fireflies, Gong
EmailGmail or OutlookInbox sync built into the CRM
Reading the call and drafting changesClaudeChatGPT, Gemini
Running the stepsn8nMake, Zapier
Where the changes landHubSpot or SalesforcePipedrive, Attio
Where the rep confirmsA Slack message with buttonsA Teams card, a task in the CRM

Access it needs

  • Read access to call transcripts, and to email threads with customer domains only
  • Write access to deals, contacts, tasks and notes through the CRM’s API
  • A Slack or Teams app to send each rep their confirm message

Three ways to build it

  1. Start simple1 day

    A saved Claude or ChatGPT prompt: the rep pastes in the transcript and gets the field changes, with quotes, to copy into the CRM.

  2. Production2–3 days

    n8n picks up each transcript and email, matches it to the deal, drafts the changes and asks the rep in Slack. Confirmed changes are written to the CRM.

  3. Custom1–2 weeks

    Adds rules per field and deal stage, a weekly summary of what changed across the pipeline, and tracks which changes reps undo.

Guardrails

  • Nothing that changes the forecast is saved until the rep confirms it
  • Every change links to the line it came from
  • Never marks a deal won or lost, changes the owner or deletes a record
  • Big swings in amount or close date are flagged
  • Internal and personal email is skipped

What to measure

  • Days since each open deal was last updated
  • Share of calls with notes on the record the same day
  • Share of proposed changes confirmed, not undone
  • Time reps spend on CRM admin each week

Who builds and runs it

The RevOps or sales ops person who owns the CRM fields can build it in two to three days with n8n. After that they check the undo rate each month and adjust the rules. Reps just confirm.
